The Development Data & Administrative Coordinator supports the daily administrative and data management needs of the Development & Marketing team. This role is responsible for maintaining accurate donor records, supporting gift processing, assisting with reporting, and helping ensure that development operations run smoothly and efficiently.
This position plays a key support role in maintaining the integrity of donor information and providing reliable administrative and data support to the development team. The ideal candidate is highly organized, detail oriented, comfortable working with data, and able to manage multiple responsibilities in a fast paced environment.
Enter and update donor records, gifts, pledges, and contact information in the CRM or donor database
Maintain accurate and up to date donor information by reviewing and correcting inconsistencies
Assist with ongoing database cleanup efforts to ensure data accuracy and completeness
Follow established data entry procedures and standards
Support entry and tracking of gifts, pledges, and donor contributions in a timely and accurate manner
Assist with preparation of donor acknowledgment letters and related correspondence
Maintain documentation related to gifts, pledges, and donor records
Partner with Finance to ensure records align with financial reporting
Assist with preparing routine reports and donor lists
Build mailing and email lists based on established criteria
Maintain tracking spreadsheets and internal reports for campaigns, events, and stewardship
Provide general administrative support including organizing files and maintaining documentation
Assist with preparation for fundraising campaigns, events, and donor communications
Support event related data including registration lists, attendee tracking, and follow up communications
Conduct basic research on individuals, corporations, and foundations
Compile information from publicly available sources to support development efforts
Maintain organized records and documentation related to development activities
Support data management projects and administrative tasks as needed
Assist team members with database related requests and updates
Experience with data entry, administrative support, or database systems preferred
Familiarity with CRM or donor database platforms is a plus
Strong attention to detail and commitment to data accuracy
Strong organizational and time management skills
Ability to follow established procedures and maintain consistency
Comfortable working with spreadsheets, databases, and office software
Ability to manage multiple priorities in a team environment
