Facility Administrative Assistant

Job Title: Facility Administrative Assistant

Report to: Chief Operating Officer

SUMMARY: Responsible for providing a positive experience for individuals calling or visiting Camp Cheerful. Oversees and coordinates cleaning, facility repairs, internal and external inspections, ordering of supplies, rentals, volunteer groups, etc… Provides general administrative support to the facilities department. Assists with any facility requests for Camp Cheerful from the Education, Adult Services, or Marketing/Development departments.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. To successfully perform this job, an individual must be able to perform each essential duty satisfactorily.   1. Facilitates and processes the ordering of materials, supplies and equipment for the Facilities departments (including but not limited to the postage machine and copy machines). Establish and maintain expense database for each fiscal year for all materials and equipment ordered. Responsible for the approval of all office for facilities and custodial supply orders for staff located at Camp Cheerful and tracks inventory
  2. Assists with compliance of all facility inspections and completion by due date. Supports efforts around continuation of licenses, registrations, and certifications by assisting with an actual inspection or application. This may include but is not limited to the pool, kitchen, elevator, vehicle registrations and trailers
  3. Negotiates agreements with vendors such as but not limited to: custodial services, printing, office supplies, occupancy supplies, and security system.
  4. Oversees all aspects of volunteer groups, which includes communications prior, establishing task list, ensuring set up, support during the volunteer day, and clean up at end of the day and sharing contact information with marketing team after.
  5. Accommodates to the needs and requests of internal regular or special event programming on the Camp Campus to ensure proper set-up, maintenance and break down items not limited to; meeting and classroom spaces, restrooms on Camp grounds and in buildings.
  6. Provides direct support to Chief Operating Officer around administrative tasks

Required qualifications

  1. Educational background in Office Administration.
  2. Three to five years of professional experience in Office Administration/Program Support.
  3. Demonstrated effectiveness with Excel, Access, Word, Publisher, Power Point

Preferred Qualifications

  1. Three to five years of professional experience working in Human Resource
  2. Database management experience
